Can the content of progression and non-progression emails be edited?


Yes, you can edit your progression and no progression email via the “action template” link within your settings menu. Simply select the edit button that corresponds to the email that you wish to change.


Can we add new skills to our levels?


Yes, within your settings menu there is a link called “Swim set up”. Within this link you can add new levels to your curriculum as well as assign and manage competencies for these levels.


Can we change the order of our existing skills?


Yes, within the Swim Set up menu, if you go into create competencies, and choose your desired level, the competency order can be adjusted via a simple drag and drop feature. Simply pick up a level and move it to the sequence that you wish.


What do we do if a parent has lost their login information?


You can look up a parent’s password within their child’s profile. On the home screen enter the name of the parent’s child into the search bar and click on the child’s name. This will take you to the child’s profile. Within the profile you will see a button called “show password”. If you click on this you will be promoted to enter your system password and then it will show you the parents current username and password for Swim Desk


Where do parents log in?


Parents can log on with their assigned username and password at parent.mygreenedesk.com


Can parents log in on their smart phone?


Yes, the parent portal has been “optimised for viewing on smart phone


Is there an app?


No, the parent portal is optimised for viewing on a smart phone and therefore acts in much the same manner as an app. We recommend that the parent saves the portal link to their smart phone and saves their username and password so they can easily log in with a couple of clicks.


Is there a user manual that we can refer?


We have an online knowledge base which explains how to use all features within Swim Desk. You can find the knowledge base in the menu panel within your Swim Desk login?


How should we train new assessors?


You can train your new assessors via our online knowledge base which includes video content. 


Which tablet devices work best with Swim Desk?


We recommend iPads however most brand named tablet devices with a regular web browser work fine. The most important factor is the availability of a stable WiFi connection around pool deck.


Do you recommend getting waterproof covers for the tablets? If so, what are your recommendations?


Yes, this helps protect the tablet from inevitable splashed on the pool deck. We recommend cases from Life Proof, Proporta BeachBuoy and OverBoard Waterproof iPad Sleeve.


What web browsers are most compatible with Swim Desk?


We recommend using google chrome on computers and Safari on iPad. Swim Desk will work with most major browsers however we have had some minor issues with Firefox.


How can I see the login statistics for our parent portal?


Within your reporting there is a report called parent portal.


How can I change the header/footer branding on our emails to parents


Via your settings menu, click on the branding centre and look for the upload header and footer function.


Do I need to add my instructors into the system?


No, your instructors will flow automatically into the system from your management system. When new instructors or teachers are added to your management system they will automatically come on the next time your database is synced with your management systems.


What do I do when I have new assessors, how do I add them to Swim Desk?


You must add new assessors or supervisors through the add staff function in your settings menu.


I can see the progression performance of assessments done by my assessors, can I see the same type of report for instructors?


Yes, in the progression report. Select to show only instructors via the available filters and this will report assessments and progression results for each in pool teacher/instructor.


Is there a way to see which students have not been assessed in a given time period?


Yes, please go to reports and view the non-assessment report. Simply select your desired time frame and run the report.


Some of my classes are not appearing after completing an upload- Why?


When the data is transferred from your management system into Swim Desk it needs to link the information with the type of level. The wording of levels in your management system need to match the wording within the level settings in Swim Desk. If you add a new level in your management system and this level is not set up in Swim Desk the class and the students within the class will not be shown on the class list.  


Can a welcome email be set up to be sent to parents of new students?


Yes, you can set up a welcome email via the action templates. Create your desired template and then set an automated action based on the “new student” trigger.


We have students that are in makeup lessons and therefore are shown in two classes- What should we do?


When you upload your database and there are children in more than one level you will be promoted with a list of these students. You have the option to remove these students from the duplicate class within Swim Desk however it can be best practice to ignore such duplicates.


Can I send an email to an individual parent through Swim Desk?


Yes, within the class list please click on the send note to parent feature.


Can I print class sheets from within Swim Desk?


Yes, there is a print button within each class view and you can print multiple class from the class list by selecting the classes you wish to print via the print check box.


If we have a technical problem what should we do?


If you have a minor technical problem that you can continue to function with we kindly ask that you submit a support request to support@mygreenedesk.com, you will receive a ticket receipt and will be contacted and informed when your case has been resolved.

How do we send SMS through the system?


To send SMS through the system you need an SMS account. We have some preferred suppliers that are around 8c per SMS.

Once your account is setup we connect your SMS to your system and you can start sending bulk and automated SMS as per of your customer touch points.


Data is not saving in SwimDesk for students assessments.

Data in SwimDesk should always save automatically. The only way the data will not save is if you press back in the browser. You should avoid clicking back in the browser whenever you are working within a class. You can press, class list, go to another class, press the logo, go into a student profile etc. Any of these actions will ensure data is retained. Please ensure all instructors and deck staff are aware not to go back in the browser.

Is there a way to add a note to a child's file that parents will not see?

There is an option to add note (+ note) at the bottom of the class view which allows you to add a note that parents will not see. (For internal use only)
