Class database upload (Links)


Within the Links program go to report Link section and select the classes menu. From the classes menu select Statistics followed by Export family details and finally Export family details BY STUDENT





Follow the prompts to export the File into an excel spreadsheet. We suggest creating a folder where you can save your spreadsheet each day.




Please ensure the export includes all data fields otherwise it will not work correctly.


The export should automatically include all fields. The list below includes all columns that should be included in the database export. If these columns are not present, double check that the export settings are set to export all data fields.

Uploading your schedule file into Swim Desk


We recommend that you upload your calendar schedule into SwimDesk at least once every day. Many clubs will complete one upload in the morning and another in the evening to ensure their schedule of classes remains up to date.


Once you have exported your file from your management system, log into your Swim Desk manager login and go to the Swim Lessons menu. Select the Swim School Upload link as shown.



This will open the database upload feature of the system.


Within the upload section click on the select button and search for the upload file that you saved previously. Click on the upload file and press the upload file button, this will commence the upload process. At the bottom of the screen you will notice an upload summary which will show you the percentage of the process that has been completed. The full upload of the schedule should not take more than 60 seconds. When the process is complete you will be prompted with an upload complete message and the latest file update date will be adjusted accordingly.

A good way to double check your upload is to view the student list within the system. The number of students on the student list should match the total number of students in the upload.
